Procedures to Meet TI End of Year Deadlines

This message was sent from TI World Headquarters and outlines the requirements for getting documentation such as education awards, dues renewals and membership applications in on time.

Hello District Leaders,

It is hard to believe that the end of the 2012-2013 program year is right around the corner – I hope all is going well for you at this very busy time of year!

We have heard from a few district leaders today seeking clarification on year-end related items, so I want to share important details regarding the following two topics:

June 30 Deadline
It has come to our attention that some members are confused about the year-end deadline of June 30, specifically because it falls on a Sunday this year.

The last day to submit documentation to count for year-end recognition is Sunday, June 30. We understand this can pose a challenge for members needing to send documentation via mail because there is no mail service on Sunday. With that in mind, documents submitted via mail, will need to arrive at World Headquarters by Saturday, June 29. We have made accommodations to be available to receive incoming mail that day.

If documentation needs to be sent via courier, the delivery date needs to be Saturday, June 29 for the same reason above; there is no delivery service on Sunday.

All emails and faxes will be accepted up until 11:59 p.m. PDT on Sunday, June 30.

Anything received at World Headquarters through Sunday will be counted as on time and processed accordingly. Any mail received on Monday, July 1 will not be counted as being received on time and will be processed as July business.

If you have any members with additional questions about the June 30 deadline, please encourage them to call Member Services directly at (949) 858-8255. Calling is preferred over email so they receive an immediate answer to a time-sensitive question.

Reports
Although the Distinguished Performance Reports update daily, processing the year-end business generally takes approximately three weeks because of the volume of submissions received during the last few days of June. . This includes auditing and finalizing all recognition reports. Please be aware that the reports are not considered final until they are announced as such. We expect that this will be complete by July 26, if not sooner.
